HVAC AI Receptionist

HVAC AI receptionist that we install on your line — not another SaaS you configure

You do not get a trial login and a blank dashboard. We install voice answering, SMS, follow-up, and CRM writeback on the phone line your customers already call, and we set the rules with you before it goes live.

Book a 10-minute walkthrough. We map your phone line, CRM, and after-hours rules. No trial login.

24/7 voice
Every call answered, including overlap and weekends.
SMS behind voice
If a call slips, text-back catches it.
Follow-up
Unbooked callers get worked, not forgotten.
CRM writeback
ServiceTitan or Jobber stays the source of truth.

Installed on your line, not another login

The difference is who does the work. A DIY dashboard makes your office manager the integrator. An installed system means we own the setup: number routing, greeting and script, escalation paths, after-hours rules, and the CRM fields your dispatcher actually reads.

SMS is the net behind voice. When a call is missed, abandoned, or comes in while another is in progress, the text-back thread keeps the conversation alive instead of dropping it into voicemail.

Installed system
  • We configure the line, scripts, and escalation
  • Rules written with your dispatcher
  • CRM mapping tested before go-live
  • Changes handled by us, not by your CSR
DIY dashboard
  • You build the flows
  • You maintain the prompts
  • You wire the CRM yourself
  • Setup stalls when the office gets busy

After-hours handling, emergency escalation, and booking rules are yours — we turn it on when you approve them.

Installer vs DIY AI vs CRM-native vs answering service

Four honest options. The right one depends on how much configuration your office wants to own and which CRM you run.

When ServiceTitan native is better

If your shop already runs everything inside ServiceTitan, your call flow is simple, and you want one vendor and one invoice, the native option inside your CRM is the cleaner fit. We are the better fit when the setup work needs to be done for you, when the phone line and CRM do not line up neatly, or when after-hours rules and Spanish-language calls need to be handled deliberately.

Built for 2–5 truck HVAC shops

At two to five trucks, there is usually one person covering dispatch, the phone, and the counter. Coverage breaks at exactly the moments demand spikes — heat waves, first cold snap, Saturday mornings.

A Jobber-commissioned survey of 1,001 US home-service buyers, fielded by Conjointly with a margin of error of ±3% at 90% confidence, found 96% say response time influences who they hire. That is a buyer survey, not an HVAC census — treat it as directional about buyer behavior.

The unanswered-call math

One formula, and you supply the only input that matters:

inbound calls × (1 − person-answer rate) = unanswered calls

Your shop supplies the inbound number. We do not estimate your revenue, ticket size, or a recovery percentage from it.

Invoca, Home Services Lead Conversion Benchmarks Report 2026

In the sub-industry chart of the 2026 report (Invoca customer-base data; HVAC is one of nine segments), HVAC person-answer rate is 34%, so unanswered ≈ inbound × 0.66. Of answered HVAC calls, 45% are leads, and of those leads, 43% convert.

Separately, the home-services rollup in the same report shows 52% person-answer, 38% of answered calls are leads, and 45% of leads convert. The HVAC 45% (answered calls that are leads) and the home-services 45% (lead-to-conversion) are different measures — do not mix them.

Invoca 2024

Separately from the 34% figure above, and not HVAC-only: 27% of home-services calls go unanswered, and fewer than 3% of those callers leave a voicemail.

ServiceTitan, State of the Trades (3 Jun 2026)

2025 platform data, tenant-weighted same-store, not a census: 14.1% of inbound residential HVAC calls arrived off-hours in June and 9.8% in October. Off-hours means weekdays before 8am or after 5pm, plus weekends, in local time.

ServiceTitan 2022 tenant data

Typical booking rate 42%, HVAC 38%, shops with fewer than 5 techs 24%, shops with 25+ techs 59%.

Harvard Business Review (March 2011) found firms that responded within an hour were about 7× more likely to qualify a lead — a study of 1.25 million online leads, not inbound HVAC phone calls.

Invoca B2C consumer research (n=693, fielded 8–22 May 2026, not HVAC-specific): 79% of consumers would switch to a competitor if a business is slower to respond, and 83% want AI identified. Our agent discloses that it is AI.

Spanish-speaking callers

Spanish handling is part of how the line is configured, not a checkbox. We set which calls are answered in Spanish, how the triage script reads, how the details reach your dispatcher in English, and how follow-up texts are written back to the caller in their language.

We do not claim a Spanish-language share for HVAC calls — that varies by market and by shop. What we can do is make sure those calls do not end in a hang-up.

Questions HVAC owners ask

What is an HVAC AI receptionist?

It is a voice and SMS answering layer that sits on your existing business phone line. It picks up calls around the clock, gathers the job details your dispatcher needs, texts callers back, follows up, and writes the record into your CRM.

How is an installer different from AI receptionist SaaS?

SaaS hands you a dashboard and a trial login, and you configure it. We install the system on your line for you — call routing, scripts, after-hours rules, and CRM fields are set up and tested with you before anything goes live.

Does it work with ServiceTitan or Jobber?

Yes. We connect the receptionist to ServiceTitan or Jobber so calls, contacts, and job details land where your team already works, instead of in a separate inbox.

What happens after hours?

After-hours calls follow the rules you set — emergency triage, callback promise, or booked slot. ServiceTitan's State of the Trades (3 Jun 2026, 2025 platform data, tenant-weighted same-store, not a census) put inbound residential HVAC off-hours volume at 14.1% in June and 9.8% in October, where off-hours means weekdays before 8am or after 5pm plus weekends in local time.

Does the AI identify itself?

Yes. The agent discloses that it is AI. In Invoca's B2C consumer research (n=693, fielded 8–22 May 2026, not HVAC-specific), 83% of consumers said they want AI identified.

Can it handle Spanish-speaking callers?

Yes — Spanish-language calls and texts are handled in Spanish end to end, by the same receptionist.

Does this replace my CSR?

No. It covers the calls your CSR cannot physically take — overlapping calls, after hours, weekends, lunch, and busy dispatch windows. Your CSR keeps the conversations that need a human.

How does text messaging consent work?

You will only get a message because you contacted us first — your inquiry is the consent. We never send marketing texts, we never text numbers that have not contacted us, and we do not buy, sell, or share phone lists. Reply STOP to stop, HELP for help; message and data rates may apply.
